Elevator Deficiency Tracking and Violation Management

Finding a deficiency is the easy part. Making sure it is corrected properly, on time and in a way the authority will accept is where owners get into trouble. Elevator Compliance Group tracks each elevator and escalator deficiency from the inspection report to verified, documented correction.

What deficiency tracking is

Deficiency tracking is the monitoring, verification and documentation of corrections to violations, code deficiencies and safety issues identified during inspections. As an independent third party, we track each item through resolution so the repair was actually made, made correctly, and recorded the way the jurisdiction requires.

Our process

  • Review and categorize inspection deficiencies and violations by severity
  • Log correction deadlines and the jurisdiction’s filing requirements
  • Assign responsibility: owner, maintenance contractor or third party, per the contract
  • Coordinate with contractors on scope and schedule
  • Verify corrective work in the field or through documentation
  • Maintain records for authorities, insurers and audits
  • Report status to owners and managers on a set cadence

Why independent tracking matters

When the maintenance contractor both performs the correction and reports it complete, nobody is checking. Deficiencies get marked closed without being fixed, fixed without meeting code, or deferred until they reappear on next year’s report. Independent tracking puts accountability back with the owner.

What owners gain

  • Lower risk of shutdowns, fines and enforcement actions
  • Clear accountability for every correction
  • Better communication with inspectors and authorities
  • Documentation that stands up in audits, insurance reviews and transactions
  • Confidence that compliance issues are closed, not just marked closed

Deficiency Tracking: common questions

How long do we have to correct an elevator violation?

It depends on the jurisdiction and the severity. Some items must be corrected immediately; others carry 30-, 60- or 90-day windows. In Texas, repeat violations must be corrected immediately and the inspector must verify them in writing before a certificate of compliance is issued. We track each deadline.

Can you work inside our existing work-order system?

Yes. We can report into your CMMS or property management platform, or provide our own status reporting. Either way you get one list of open items with owners and dates.

Does deficiency tracking replace our maintenance contractor?

No. The contractor still does the work. We make sure the work gets done, meets code and is documented.
